4sight Design, Exhibitions and Events Limited (referred to in this policy as ‘4sight Design’, ‘we’ or ‘us’) is registered at 10 Park Road, Allington, Lincolnshire NG32 2EB, UK
This policy has been written for compliance with the General Data Protection Regulation (GDPR) which came into force on 25th May 2018. This policy explains to our customers what data we collect about them, how it is used and how we keep it secure
The policy will be updated as and when the regulations are changed

WHO WE ARE
4sight Design is a privately-owned exhibition stand design and build limited company based in Lincolnshire, UK. We specialise in delivering design and build exhibition stand solutions. Other services include supporting clients with complementary services to enhance their exhibiting success

HOW DATA IS OBTAINED
We obtain information that you have provided via:
1. Enquiries submitted via our website using the “contact us form”
2. Enquiries made in person, telephone, email or by social media (i.e. Facebook)

WHAT PERSONAL DATA WE COLLECT
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data)
We may collect, use, store and transfer different kinds of personal data about you, outlined in the following ways:
1.Identity Data including first name, last name, title
2.Contact Data including billing address, delivery address, email address, telephone numbers. We will also collect your social media username, if you interact with us through those channels
3.Financial Data including bank account details
4.Transaction Data including details about payments to and from you and other details of products/services you purchased from us
There may be specific instances when we need to collect additional data for the purposes set out in this Policy. The above data is collected directly when you request a quotation or services from us

HOW WE USE YOUR DATA
Personal data is used:
1.To provide quotations, goods and services
2.To issue contracts and invoices
3.For crime and fraud prevention, detection and related purposes
4.When we have a legal right or duty to use or disclose your information (i.e. in relation to, and investigation by, a public authority or in a legal dispute)
5.To send you relevant communications by email or post in relation to updates, products and services. We will do this on the basis of our legitimate business interest. You are free to opt out of hearing from us by email or post at any time
We may also use information and statistics for monitoring our website usage in order to help us develop the services we offer

HOW WE PROTECT YOUR DATA
Maintaining customer’s data is essential to us and we are committed to keeping personal data safe and secure
The security of your personal data is very important to us and we are committed to treating it with the utmost care, taking all appropriate steps to protect it.
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality. Access to your personal data is password-protected, along with sensitive data such as bank details.
Other security measures include:
1.Anti-virus, firewall & network protection on all computers
2.All computers, devices and software password protected
3.Internal policies that set out our data security approach

HOW LONG DO WE KEEP PERSONAL DATA?
We will not keep your personal data for longer than necessary and for the purpose set out in the Policy. What information we keep will depend on the legal or regulatory requirements and industry practice. We will retain your data after the completion of a project to make the communication process between projects more convenient unless you instruct us in writing to delete your data after the completion of a project

SHARING DATA WITH THIRD PARTIES
We will only share your personal data with service providers and third parties
Service Providers:
It is sometimes necessary to share limited personal details (address and contact name) with service providers in order to obtain their services for/at the exhibition venue (i.e hire equipment and services, delivery/collection services, temporary internet/phone providers on site)
Third Parties:
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions
We will not disclose your personal data to any third party, except as set out below:
1.Debt collection agencies
2.Governmental bodies, regulators, law enforcement agencies, courts/tribunals and insurers where we are required to do so:
2.1 to comply with our legal obligations
2.2 to exercise our legal rights (i.e. in court cases)
2.3 for the prevention, detection, investigation of crime or prosecution or offenders
3. for the protection of our employees and customers
We will not sell customer data to other organisations for marketing purposes

OVERSEAS TRANSFER
We will not transfer information you provide to countries outside the European Economic Area (EEA) except as necessary for the processing of quotations and the execution of projects

YOUR RIGHTS
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive.
In certain circumstance such as where the data is no longer necessary for the purpose for which it was collected, you have the right to require us to erase all personal data held about you.
The accuracy of your information is important to us. If you change email address, or any of the other information we hold is inaccurate or out of date please contact us using the details below

YOUR CONSENT
By submitting your personal information to us you are consenting to the use of that data as set out in this policy
